How to Use Voice Folders

What is a Voice FolderTM?

A Voice Folder is a special kind of audio folder that any PubClip customer can create.

Voice Folders are automatically assigned a phone number and extension that can be dialed by anybody.

Dialing a voice folder phone number and extension a will play your custom greeting message and allow people to record audio messages for you. Those audio messages are automatically saved into your PubClip Voice Folder.

To Create a Voice Folder:

  1. Click on the "Audio" tab
  2. Select "Create New Folder" from the menu bar under the tabs
    (Click here to create a new folder)
  3. Enter the name of your Voice Folder in the "Folder Name" field.
  4. Select "Voice Folder" from the "Type" field.
  5. Save the folder by clicking "Create New Folder" button to save changes.

When you save the Voice Folder, it will appear in your Audio List.

Using Your Voice Folder

Every Voice Folder will have a phone number and extension assigned to it automatically. Your Voice Folder is just like any other audio folder in your account with the exception that it can have new audios recorded by phone which will be added to the Voice Folder immediately after they are created.

The phone number and extension will be permanently assigned to your Voice Folder until you delete the Voice Folder or turn it into a regular non-Voice Folder.

You can find the Voice Folder phone number on your Audio List page next to the name of the Voice Folder. In addition, you'll notice that the Voice Folder receives a different icon than your other folders so you can easily distinguish the difference.

You can change the greeting message of your Voice Folder by recording a new message using your phone.

To Change Your Voice Folder Greeting Message:

  1. Phone the PubClip Media Center recording line 469-212-0830.
  2. When prompted, enter your PIN followed by the "#" key.
    (You can skip this step if you enable Caller-ID on your account.)
  3. Press "3" to record a new Voice Folder greeting
  4. When prompted, enter the Voice Folder extension
  5. Record a new greeting
  6. Press the "#" key to stop recording
  7. Press "3" to save your new greeting
